COVID Protocols for Campus Group Visits
The novel coronavirus, COVID-19, has been declared a worldwide pandemic by the World Health Organization. According to the Center for Disease Control and Prevention (CDC), COVID-19 is “an extremely contagious disease” that is spread from person-to-person contact and can result in severe illness or death. As a result, federal, state, and local governments and federal and state health agencies in Kentucky recommend several proactive measures that have been taken under advisement by Transylvania University.
Transylvania University (“the University”) has put in place
significant
preventative health measures as recommended by the CDC to reduce the spread of COVID-19 for students, faculty, staff and visitors; however, the University cannot guarantee that guest(s), will not be exposed to COVID-19. Further, attending public events outside of the home, including University events, could increase the risk of contracting COVID-19.

asks are required in common and public spaces inside buildings for all faculty, staff, students and visitors to campus regardless of vaccination status
in response to the current public health situation and COVID-19 critical incidence rate in Fayette County. Fully vaccinated individuals may remove their mask in a personal office or meeting space while alone or when separated by six feet of distance. I acknowledge that I and our chaperones are personally responsible for the safety of our students and their actions while at the University. Because the University is open for use by other individuals, I recognize that I and our visitors are at risk of contracting COVID-19 and acknowledge the University is not to be held responsible if I or our visitors in our group become infected with COVID-19. By visiting the University, I and our visitors voluntarily assume all risks related to exposure.
I acknowledge, understand and agree that all members of our group will properly wear a face mask or appropriate cloth face covering, in order to protect ourselves and others as required by the University during the full duration of the visit. The visit begins at the moment of arrival to the University campus property to the moment of departure from the University campus. I acknowledge that if this expectation is not met at any point during the visit, the State of Kentucky authorizes the University to limit, stop or cease the visit.
I acknowledge, understand and agree that I and our group visitors will adhere to the University’s guidelines by maintaining proper hand hygiene while on campus by washing hands or utilizing hand sanitizer that is provided on campus and refraining from intentionally touching surfaces that may be widely utilized by University students, faculty and staff, such as desks, chairs, surfaces, etc. in academic and residential buildings on the University’s campus.
I agree that in the 48 hours prior to my event, our visitors are responsible for a symptom assessment for COVID-19 related symptoms. If I or any of our group visitors display symptoms, including but not limited to: cough, shortness of breath, fever, chills, muscle pain, sore throat, gastrointestinal issues, new loss of taste or smell, etc., I agree to contact the University as soon as possible, notify them of the symptoms and cancel or reschedule my visit.
I agree on behalf of our group that all our visitors will comply with all other University standards, policies and procedures, not specifically listed herein, including but not limited to all guidelines, signage, and instructions as well as all activities, expectations and standards that are part of or incident to attendance at the visit.
I voluntarily grant the University and its Representatives the right to take photographs and produce audio and video recordings during any activities in which I or my guests attending the event with me participate and to use my likeness or oral statements and biographical information for advertising and promotional purposes in promoting the University in any publications and other media in perpetuity, without notice, right of approval, or monetary compensation, unless otherwise required by law. I acknowledge that all such photographs and recordings will be the property of the University.
